ISO 14001 Certification Process: Step-by-Step Guide

ISO 14001 is the only core standard in the ISO 14000 series that organisations can certify to. Getting certified to ISO 14001 means that an organisation has successfully demonstrated its commitment to Environmental Management. Here are the main steps involved in achieving certification.

01

Planning
& Gap Analysis

Understanding the requirements of the ISO 14001 standard is the first step. The planning process may also include performing a gap analysis to assess the organisation’s current documentation status in relation to the ISO 14001 requirements, unless starting from scratch. Consequently, a plan is developed to address these gaps and establish a roadmap for the certification process.

02

Documentation & EMS Development

During this stage, the appropriate documents must be created to build an Environmental Management System (EMS), including environmental policies, procedures, work instructions, and business planning documentation. This is the point at which expertise in understanding and implementing the standard requirements becomes valuable, and expert consultants will optimise this step, saving you time and money with their strategic execution.

03

Implementation, Training & Coaching

The EMS is put into practice across the business, and employees should be coached to understand the documentation, along with clarification on their roles and responsibilities. Implementation means embedding the documented processes into daily business activities, consistently monitoring them to ensure proper execution, and gathering data and evidence to assess their performance and effectiveness.

04

Management Review & Internal Audit

Conducting an internal audit is a requirement of the ISO 14001 standard to evaluate how effectively your Environmental Management System (EMS) meets the standard’s requirements, while also identifying areas for improvement. Additionally, Management Reviews are mandatory and involve assessing EMS performance data and overall effectiveness to ensure the system remains suitable, adequate, and aligned with your organisation’s environmental objectives.

05

External Audits & Certification

This is the point at which you need to engage a Certification Body (aka Conformity Assessment Bodies). As an accredited organisation, they will conduct the Certification (External) Audits to assess your EMS against the ISO 14001 requirements. Auditors will evaluate the management system’s effectiveness, its alignment with the standard, as well as its capacity to deliver consistent results. Upon successful completion of the External Audit, your organisation will receive the ISO 14001 Certification. Find out how to select the right Certification Body for your business.

06

Continual Improvement

Upon achieving ISO 14001 Accreditation and Certification, its validity lasts 3 years, during which your Certification Body will return to perform annual surveillance audits to verify your commitment to the implemented environmental management system. You must regularly conduct ongoing activities, such as Internal Audits, as required by ISO 14001, to ensure your EMS still meets the standards requirements. Evidence of these will be checked by your Certification Body auditor. Find out more about certification ongoing support

It was also an absolute pleasure working with them. Ivona, our main consultant, was always available and responded quickly. On a scale of 1 to 10, I’d give her 11. This certification demonstrates a commitment to ethical practices while enabling businesses to navigate complex ecological challenges, thus ensuring a greener and more prosperous future.

By achieving this certification, organisations can also effectively manage and reduce their environmental impact, ensuring compliance with environmental regulations and fostering a positive reputation. It acts as a powerful business improvement tool, enabling organisations to enhance operational efficiency, reduce costs and waste, and optimise resource utilisation.

Additionally, Certification to ISO 14001:2026 can be a critical competitive advantage as it broadens your market opportunities with eligibility to secure bigger and better projects via government tenders and grants. The certification can also help organisations fulfil other contract or product requirements, and be used to help lower insurance premiums.

The Environmental Standard also helps organisations identify potential environmental risks and develop strategies to mitigate them, leading to better risk management and improved overall performance.

ISO 14001 Overview: Understanding the Key Requirements and Clauses

The ISO 14001:2026 Environmental Management System (EMS) Standard is divided into ten clauses, with Clauses 4 to 10 outlining the core requirements for building, implementing, maintaining, and improving an EMS. Below is a high level summary of the standard’s clauses and requirements.

Explains the intent of the standard to support organisations in systematically managing their environmental impacts and enhancing environmental performance.

Specifies any essential references needed to apply the standard. In ISO 14001:2026, there are no additional normative references beyond the standard itself.

Provides key terminology used throughout the standard to ensure users have a shared and accurate understanding of environmental management concepts.

Outlines the importance of understanding the broader business environment, including external and internal factors, stakeholder expectations, and the boundaries of the EMS.

Addresses the responsibility of top management to lead by example, integrate environmental management into the organisation’s strategy, and assign clear roles for environmental accountability.

Covers the process of identifying significant environmental aspects, legal and other obligations, and potential risks and opportunities. It also includes setting measurable environmental objectives and planning how to achieve them.

Focuses on the enabling factors that support the EMS, such as competent personnel, effective internal and external communication, awareness, and the control of documented information.

Details the need for robust controls over operations that can have environmental impacts. This includes managing suppliers and contractors, adapting to change, and preparing for environmental emergencies.

Requires organisations to track and assess their environmental performance through monitoring, measurement, analysis, internal audits, and regular management reviews.

Promotes a culture of continual improvement by addressing nonconformities, implementing corrective actions, and identifying opportunities to enhance the EMS and overall environmental outcomes.

Frequently Asked Questions about ISO 14001

ISO 14001 is an internationally recognised standard for Environmental Management Systems (EMS). It provides a framework for organisations to manage their environmental responsibilities effectively. The standard helps businesses reduce their environmental impact, comply with regulations, and promote sustainable practices through systematic planning, implementation, and improvement of environmental performance.

The first consideration to make is the expense involved in upgrading your Management System, as well as obtaining the actual Certification.

If you require the assistance of a professional ISO Consultant, like us, the fees will vary based on various factors, such as: what you already have in place; the size of your business; complexities and risks for your industry; number of locations; the level of service you’d like; and which and how many ISO Management System Standards you’re working towards (I.e. ISO 14001:2026 only or more). This is where the FREE Strategy Session is useful, so we can identify these factors and provide you with a tailored quote – book in your FREE Strategy Session.

Regarding the ISO 14001 accreditation itself, the price will be set by Conformity Assessment Bodies (CABs), who are responsible for auditing and certifying your business. CABs usually provide quotes based on the three-year certification period, which includes a Certification Audit (Stage 1 and 2) and two annual Surveillance Audits. When the three-year cycle concludes, you must complete a Recertification Audit to renew the certification for another three years. The cost will be influenced by the size, complexity, and nature of your organisation, which will differ from one organisation to the next.

To achieve ISO 14001 certification, follow these steps:

  1. Plan your EMS by identifying environmental impacts and regulatory requirements.
  2. Implement the EMS across your organisation.
  3. Conduct internal audits to assess the system’s effectiveness.
  4. Choose a certification body to perform an external audit.
  5. Upon successful audit, receive ISO 14001 certification and begin ongoing monitoring and improvement.

Working with an experienced ISO 14001 consultant at ISO Certification Experts can streamline the process and ensure compliance with all requirements.

How long it takes to become certified to ISO 14001:2026 depends on several factors, such as the complexity of your business processes, the size of your organisation, and the level of preparedness of your environmental management system. On average, if starting from scratch, it could take anywhere from three months to one year to complete the entire ISO 14001 Accreditation Process.

If you want a more accurate timeline based on your specific situation, we can help you. To speak with one of our experts, contact us here!

ISO 14001 certification is valid for three years. After this period, organisations must undergo annual surveillance audits to ensure continued compliance with the standard. At the end of the three years, a recertification audit is required to renew the certification. These regular audits help maintain the effectiveness of your Environmental Management System (EMS) and ensure it aligns with evolving regulations and best practices.

ISO 14001 certification is not a legal requirement, but it can help organisations comply with environmental laws and regulations. Achieving ISO 14001 demonstrates a commitment to environmental management and can be crucial for businesses that want to meet legal obligations, improve sustainability, and enhance their reputation. Many industries and customers prefer or even require ISO 14001 as part of their business relationships.

Yes, ISO 14001:2026 can be integrated into an already established ISO 9001:2015 management system. The two standards share many common requirements, including their emphasis on risk management, process approach, leadership, continual improvement, and more. Consequently, it is possible to form a consolidated management system that fulfils the requirements of both standards.

To integrate ISO 14001:2026 into your existing ISO 9001:2015 management system, you must first determine the areas where the standards overlap and where extra controls or processes may be required. A gap analysis would help you identify and plan your management system integration. Contact us for the best approach for your business.

If you’re interested in learning more about Integrated Management Systems, you can visit this page.

Any type of business can achieve Certification to ISO 14001:2026. ISO Management System Standards are designed to be generic and flexible, meaning that the requirements can be adapted to any type of business, regardless of size, nature or industry.

Nowadays, there’s growing pressure and expectation from consumers, partners and regulators for businesses to integrate environmental and social best practices into their operations, regardless of their size. By implementing ISO 14001:2026 and achieving Certification, small businesses will not only benefit from greater operational efficiency, boosted stakeholder confidence and improved brand reputation, but will also be prepared to grow sustainably and in compliance with current and future environmental requirements.

An Environmental Management System (EMS) is a structured framework of policies, procedures, processes, and records that an organisation uses to manage its environmental responsibilities and improve environmental performance. Under the ISO 14001:2026 Standard, the EMS must be designed to meet specific requirements, including identifying environmental aspects, complying with legal obligations, and setting objectives for continual improvement. A compliant EMS allows organisations to reduce environmental impact and demonstrate their commitment to sustainability.

To become certified to ISO 14001:2026, your organisation must first establish and implement an Environmental Management System that meets the standard’s requirements. This includes assessing environmental risks and opportunities, managing compliance obligations, and conducting internal audits to evaluate the effectiveness of your EMS. Once your system is operational and internally audited, you’ll need to engage an Accredited Conformity Assessment Body (CAB) to conduct an independent external audit and issue certification. For a detailed walkthrough, read our article: How to Achieve ISO Certification: A Comprehensive Guide.

Certification to ISO 14001:2026 can only be issued by a Conformity Assessment Body (CAB) that is accredited (Within the Asia-Pacific region, this typically means accreditation by JAS-ANZ). These accredited organisations, also known as Certification Bodies, are authorised to assess and certify your Environmental Management System.  Note that an organisation cannot provide both consulting and certification services to the same client, as this would represent a conflict of interest and breach international ISO compliance rules.

Yes, your ISO 14001:2015 certificate remains valid until its expiry date or the end of the transition period in April 2029, whichever comes first. However, no new certifications to the 2015 version will be issued after the transition midpoint (typically 18–24 months after publication of the new version). It is highly recommended to transition to the 2026 version of ISO 14001 during your next ISO Re-Certification audit to save on audit time and costs.

Organisations currently certified to ISO 14001:2015 have a three-year transition period starting from the official publication date (April 15, 2026).
To maintain your certification without a lapse, complete your transition audit to ISO 14001:2026 and receive your new certificate before April 2029.

Pro Tip: Don’t wait until the final year. Auditor availability often tightens as the deadline approaches, and an early transition allows you to align your environmental management system (EMS) with current global sustainability expectations sooner. It is highly recommended to transition to the 2026 version of ISO 14001 during that your next ISO Re-Certification audit to prevent additional audit time and costs.

The 2026 revision of the Environmental Management System (EMS) Standard offers greater clarity, improved usability and stronger alignment with today’s environmental priorities. The intention with this revision was not to reinvent the standard but to refine and strengthen it, making it easier to understand, implement and integrate into broader management systems. While the core content and intent of the standard remain the same, the key updates include:

  • General clarifications and terminology updates: There is some re-ordering of clauses across various areas of the standard, greater clarity on concepts like the lifecycle perspective and terminology updates such as the term “outsourced” being replaced by “externally provided” products/services/processes.
  • Expanded Context considerations: The Standard now requires the organisation to consider specific environmental conditions being affected by the organisation or capable of affecting the organisation, including pollution levels, availability of natural resources, climate change, biodiversity and ecosystem health.
  • Improved alignment with the harmonised structure: This is useful when developing an integrated management system, meeting the requirements of more than one ISO Management System Standard. This includes a new Clause 6.3 on “Planning of Changes”, clarifying the requirement for a structured approach for any changes that affect or can affect the Environmental Management System.
  • Upgrade of Annex A – Guidance on the use of ISO 14001:2026: Make sure you read this. This has been significantly upgraded, with a lot of great information to guide you in developing and effectively implementing your Environmental Management System. It provides greater clarity to concepts such as leadership, organisational culture, environmental responsibility and employee engagement, bringing together targeted guidance for users new to the ISO 14001 standard and for those refreshing their existing Environmental Management System.
